Administrative Assistant 

Location: Poulsbo, WA | Full-Time | On-site

Position Overview

The Administrative Assistant is a dynamic role designed to support the day-to-day flow of business across several essential departments. This individual will help ensure that warranty and permit documentation is accurately maintained, our office environment is professional and welcoming, and key administrative functions are completed in a timely and organized manner.

Key Responsibilities

Warranties Management

  • Maintain an up-to-date database of all warranties for roofing, construction, and restoration projects.

  • Process and submit warranty documentation accurately and on time.

  • Serve as a point of contact for customers and suppliers regarding warranty claims and inquiries.

  • Coordinate with manufacturers to ensure clear understanding and execution of warranty terms.

Permits Coordination

  • Research and apply for construction and roofing permits in alignment with local, state, and federal guidelines.

  • Maintain detailed records of all permit applications and approvals.

  • Work closely with project managers to ensure timely alignment between permitting and project timelines.

  • Liaise with municipal offices and inspectors to resolve issues when needed.

Office Cleaning Oversight

  • Ensure the cleanliness and organization of office spaces, shared areas, and warehouse facilities.

  • Maintain and restock cleaning supplies inventory.

  • Help create a clean, professional, and welcoming environment for all team members and guests.

Marketing Material Assistance

  • Assist with organizing and distributing marketing materials (brochures, flyers, promotional packets).

  • Assemble and maintain branded marketing kits for use by the field and office teams.

Administrative & Front Desk Support

  • Provide backup coverage for the front desk during lunch breaks and staff time off.

  • Greet clients and visitors in a friendly, professional manner.

  • Answer incoming phone calls and direct them to appropriate departments or staff.
