Patient Care Coordinator to support our providers and enhance client experience.
Job Summary: This is a full-time position working Tuesday- Saturdays (2 Saturdays a month). In this role you will be working at two locations (Grant Rd and Oro Valley) as the Patient Care Coordinator.
As a Patient Care Coordinator, you will play a crucial role in providing exceptional customer service and administrative support while actively promoting our services to enhance client satisfaction and clinic revenue. This entry-level position is ideal for individuals looking to start their career in the healthcare or spa industry, offering opportunities to develop skills in patient care coordination, client relations, and sales.
Patient Coordinator Duties: - Greeting clients warmly and assist with inquiries about services and treatments offered, actively promoting additional services and packages.
- Schedule initial consultations and follow-up appointments, highlighting the benefits and features of each treatment.
- Conduct inventory checks and track supply needs using Google Sheets.
- Assist during client consultations by providing detailed information on treatments, procedures, and pricing, effectively cross-selling and upselling services.
- Ensure all necessary paperwork and consent forms are completed accurately and efficiently, discussing pricing and payment options.
- Handle billing inquiries, provide cost estimates, and actively promote membership or loyalty programs to enhance client retention and satisfaction.
- Coordinate treatment schedules and ensure all preparations are made for client visits, actively promoting last-minute openings and promotions.
- Support general administrative duties such as managing appointment calendars and maintaining a tidy reception area to create a welcoming environment.
- Track incoming leads, enter all leads in Zenoti, follow up as needed, and work through call lists notating status.
- Conduct outbound calls to potential leads generated through various marketing channels.
- Handle inbound calls from prospective patients, providing information about services, pricing, and scheduling.
Requirements: - Prior experience in a medical or aesthetic setting preferred.
- Strong interpersonal and communication skills.
- Ability to multitask and stay organized in a fast-paced environment.
- Proficiency with EMR systems and Google Workspace tools is a plus.
- Commitment to professional attire (black scrubs; green on Fridays only) and punctual attendance.
