Salary: $70,000-90,000 depending upon experience

Schedule/Location:

  • Full-time, Monday - Friday, generally between 7:00am-5:00pm
  • Location: This is a fully on-site role that rotates between our Golden Valley and University Ave-St. Paul Clinics, with occasional outside other sites for events or meetings. Subject to change as business needs dictate. Must live in or have easy access to the Minneapolis/St. Paul area.

Job Summary:  

The Regional Manager of Veterinary Center Operations is responsible for overseeing the management of daily operations across all Veterinary Center locations and the Vet Center Training Program. This role is also responsible for supervising the Clinic Managers and the Veterinary Technician Trainer.

Essential Functions:

Veterinary Center Operations:

  • Ensure quality and quantity of work performed is consistent across clinic locations and is within organizational standards in areas of workflow, cleanliness, and organization.
  • Ensure consistency in protocols, policies, and procedures among clinic locations.
  • Monitor management of timely and efficient Spay/Neuter, Wellness, Dental, and Specialty surgery appointments.
  • Monitor existing processes and identify areas for improvement, proposing solutions to enhance overall efficiency using data-driven decisions.
  • Develop and implement new processes to ensure smooth operations, meet organizational goals, and improve customer satisfaction across clinic locations.
  • Support expansion efforts including new clinic set up and interim management of individual sites during growth.
  • Monitor the financial health of the Vet Center by maximizing revenue and controlling costs by overseeing management of people, systems, and resources.
  • Coordinate with various departments to ensure the clinics are well prepared to handle incoming inquiries and issues.
  • Maintain overall annual Vet Center budgets and provide statistics and prepare reports as appropriate.
  • Ensure the clinics inventory of supplies for operations is effectively managed and maintained.

Leadership:

  • Provide supervision, coaching, and development to direct reports as noted on the organizational chart, acknowledging accomplishments and providing regular feedback.
  • Support individual clinics during periods of vacancy in the clinic leadership position.
  • Lead department meetings when needed and conduct one-on-one meetings with direct reports to ensure team members have the resources and support to be successful.
  • Address and resolve any issues or conflicts within the team up to and including termination.
  • Review and approve timecards and requested time off within payroll deadlines, working closely with employees to resolve discrepancies.
  • Assist with hiring new employees.
  • Oversee the training program led by the Veterinary Center Veterinary Technician Trainer to ensure a consistent flow of new technicians and assistants to meet the needs of the department.
  • Manage budgets and complete revenue/expense reports as required by Finance.

Communication and Culture:

  • Communicate in a positive and professional manner with customers, other employees, and volunteers.
  • Promote a culture of diversity, equity, and inclusion to make AHS a welcoming environment for all.
  • Address and resolve elevated customer concerns and complaints.

Technology:

  • Monitor AHS email and other messaging software.
  • Utilize Hybrent for inventory management.
  • Approve timecards for direct reports using ADP.
  • Manage and view schedules in Makeshift.
  • View, edit and maintain client and patient records in eVet (Pulse).

Other duties as assigned.

Additional Information:

Schedule and Attendance:

  • Regular, predictable attendance, punctuality, and availability to work during operational hours which may include evenings, weekends, and holidays.
  • Attend and participate in regular team meetings, leadership meetings, all-staff meetings, and one-on-one meetings with direct leader.
  • May be required to attend occasional off-site meetings and events.

Work Environment:

  • Primarily office/desk based.
  • Adjacent animal shelter or clinic areas may be humid, noisy, or odorous.

Requirements

Experience:

  • 4+ years of leadership experience required.
  • Experience working in operations or a veterinary clinic is preferred.

Skills:

  • Excellent Written, verbal, and interpersonal communication skills.
  • Strong administrative, organizational, and process management skills.
  • Strong multi-tasking, conflict-resolution, and problem-solving skills.
  • Proficient with computers, specifically a working knowledge of Microsoft products.

Physical Demands:

  • Prolonged sitting at a desk.
  • Must be able to lift and carry up to 20 lbs.

Emotional Demands:

  • Must be comfortable with the emotional aspect of work in a veterinary clinic environment, including the use of humane euthanasia.

Transportation:

  • Reliable transportation required.
  • Regular travel between sites required.
